SOS Office Manager for Windows (OMWin) is a comprehensive
accounts receivable and billing system. Once account and transaction information
have been entered into the system, OMWin can automatically generate patient
statements, insurance forms, and a host of accounting and management reports.
Here are just some of the ways that OMWin can make things easier for
you:
Increases efficiency
- Quickly completes charge entries based on the most recent
similar entry in a patient’s ledger.
- Speeds data entry by minimizing the number of keystrokes
required to enter new patients and transactions through user-set
defaults.
- Combines an unlimited number of related services as a macro so
that they can be entered as easily as a single service.
- Automatically enters the appropriate charges based on fee
schedules including any combination of provider, service, and payor.
- Automatically enters adjustments and discounts
Manages Accounts Receivable
- Splits each fee among an unlimited number of payors for a given
patient.
- Precisely tracks payments, from whom they came, when they were
posted, and to what they were applied.
- Traces individual payments from, or to, specific checks or
credit cards at any time.
- Displays accurate up-to-the-minute aged receivables (30, 60, 90,
120, and 120+ days) for every private and insurance payor.
Simplifies billing
- Lets you select from numerous patient and insurance billing
formats and options, including several electronic claims options.
- Rapidly generates claims for new charges without the need for
extensive searching of the database.
- Easily bills different services to different insurers within
the same patient account.
- Walks you through the process of billing with Statement and
Insurance Claim Guides.
Tracks authorizations and
pre-certifications
- Reliably tracks managed care authorizations, including
provider-specific, service-specific, and overlapping or discontinuous
authorizations.
- Displays warnings when authorized sessions run low or the
authorized date range is about to expire.
- Automatically groups services according to authorization and
outputs as separate claims, including the appropriate authorization
number.
Maximizes security
- Lets you control who has access to individual windows, buttons,
and entry fields using OMWin’s extremely powerful and flexible security
system.
- Easily monitors changes with OMWin’s automatic audit trail. It
maintains a history of all previous versions of transaction and patient data; all changes
are recorded with the time, date, and identity of the user who made the
change.
Provides maximum flexibility, convenience, and ease
of use
- Simplifies correct data input: have an OMWin Guide walk
you through complex procedures such as refunds and moving payments from one
account to another, as well as routine matters such as entering a new patient.
The Guide explains each step along the way and prevents you from making
mistakes or accidentally omitting anything important.
- Uses any unique combinations of up to 19 letters and numbers as
patient account identifiers. Change the identifier freely whenever you like
without compromising the integrity of your data.
- Quickly defines custom fields, entry formats, and even lookup
lists for additional patient, provider, service, claim setup, insurance policy, and transaction
data.
- Disables or hides prompts, fields, buttons, or entire entry
forms based on each user’s security level so that users do not have to see
or complete irrelevant parts of forms.
Data accessibility
- Easily access data through Microsoft’s ODBC industry standard. Users
approved for access may query and report data stored by OMWin using many popular database, spreadsheet,
and reporting products such as Microsoft Access and Excel.
Power
- Gives your organization the speed and stability of OMWin’s
client/server architecture and powerful SQL database engine, Sybase Adaptive
Server Anywhere.
The Adaptive Server Anywhere database provides low maintenance, high performance,
and robust
data-handling with virtually no limits on the amount of data you can safely add
to the system.
Capacity and Ability to Grow
- Rest easy in the knowledge that you won’t outgrow OMWin. It can
easily accommodate as many patient accounts and transactions as you are ever likely
to throw at it.
Hardware and System Requirements
The following recommendations should deliver satisfactory performance in each
indicated category. If your implementation is particularly
demanding, you should increase both RAM and processor speed to compensate.
Simultaneous usage of resource-hungry applications such as Microsoft Office
also demand more RAM.
Standalone Computer or Network Workstation
- 600 MHz processor or higher (Intel or AMD processors) .
- At least 512 MB RAM for Windows 2000 or XP); at least 1 GB for Vista. Larger databases will require more RAM.
- 6 GB or more hard disk space.
- CD-ROM drive (or CD-RW, or DVD) for installation.
- 17" or larger CRT running 1024x768 resolution or higher.
- Windows 2000, XP, or Vista (32 bit versions ONLY!)
- Backup system, preferably tape, CD-RW, or other removable media.
Network Server for Small Workgroup (up to 6 workstations)
- "Dedicated" server that is not also used as a user’s
workstation.
- 1 GHz processor or higher (Intel or
AMD). The database will take
advantage of multiple/multi-threading/multi-core processors, if present.
- 1 GB or more RAM (highly dependent on size of database, but 1 GB
should meet the needs of most small to mid-sized installations)..
- CD-ROM, CD-RW, or DVD drive.
- Any monitor.
- XP Pro, Vista Business, or Windows Server 2000 (service pack 4) or Server 2003 to host the database..
- Tape or other removable media backup.
Network Server for Large Workgroup (7 or more workstations)
- "Dedicated" server that is not also used as a user’s
workstation.
- 2 GHz processor or higher (Intel or AMD). The database
will take advantage of multiple processors or cores, if present. A
multi-processor/multi-core server will provide significantly better
performance, especially as the number of simultaneous users increases.
Note that the standard server license is valid for up to four
processors/cores. If running on a larger system, there is a modest
additional charge for every four processors above the first.
- 2 GB or more RAM (highly dependent on size of database).
- Two or more high performance hard disks.
- CD-ROM, CD-RW, or DVD drive.
- Any monitor.
- Windows Server 2000 Server (service pack 4) or Windows Server 2003.
- Tape or other removable media backup.
Special issues:
- Note that the installation will require a CD-ROM drive (any speed).
- All
your workstations must be running Windows 2000 (service pack 4),
XP, or Vista. For
satisfactory performance we would recommend a 1 GHz or faster processor
and no less then 512 MB of RAM (1 GB or more for Vista). SOS Office Manager for Windows will not install on Windows me, 98, 95 or older.
